Job Description: Summary of responsibilities: • Serve as travel processor which includes the following activities: fill out and submit travel authorization requests using IFAS Shared Services system for the project travelers; collect receipts from travelers after the travel is complete and review them for accuracy and compliance with UF Travel rules and policies; assist travelers to fill out and submit expense reports using IFAS Shared Services; acquire traveler signature for approval on final expense reports and submit to IFAS Shared Services; submit expense reports with all supporting documentation. Update internal trackers for travel processes. Work with the Management Entity CFO on any travel related issues that require special assistance and interface with the UF Travel office, IFAS Shared Services and Contracts and Grants to stay informed on changes to the University of Florida travel policies. • Serve as a P-Card reconciler primarily for travel and other P-Card charges. • Prepare and process outside vendor invoices, payment authorizations, and purchase requisitions; prepare and process payments to vendors, consultants, subcontractors and staff expense reimbursements in compliance with the University of Florida financial policies and procedures. • Compile fiscal information; assist with budgets and fiscal reporting as needed. • Organize and maintain electronic files of all subaward documents and resources including updating subaward financial trackers. • Support CFO with subaward administration tasks related to compliance, subaward financial reporting including generating subward documents and other correspondence, as needed. • Assist Management Entity travelers with airfare and hotel booking, car rental and other travel arrangements. • Assist with event coordination and meetings. • Assist with the coordination of ordering of office supplies, maintain office supply inventory. • Assist with arranging and supporting various LSIL events. • Perform other duties as assigned
