Description This position is open to all interested persons meeting the minimum qualifications. There is currently one (1) Legal Secretary II opening in the Civil Division of the Legal Department. Description Perform a wide range of public agency legal secretarial and document processing support work to legal judicial staff. Includes regular contact with City staff and outside agencies. DISTINGUISHING CHARACTERISTICS This is the experienced class in the Legal Secretary series, which includes regular contact with staff and outside agencies in situations where tact and discretion are important. Qualifications & Testing Information Applicants must possess the following minimum qualifications to continue in the recruitment process: Education And Experience High School Diploma or equivalent and two (2) years of experience as a legal secretary in a professional legal setting equivalent to the City's class of Legal Secretary I. Must accurately type forty-five (45) net words per minute. Licenses And Certificates Specified positions may require possession and maintenance of the equivalent to a valid Nevada Class C driver's license within thirty (30) days of hire. Must possess and maintain, at the City's expense, a State of Nevada Notary Public Certificate within thirty (30) days of hire. Civil Service Testing A Training and Experience Questionnaire is the Civil Service Exam for this position. Qualified applicants must complete the Training and Experience questions at the end of this job posting. The Training and Experience questions will comprise 100% of the candidate's overall score for this recruitment, it is therefore to the candidate's advantage to answer each question in as thorough and detailed a manner as possible. Example of Essential Duties Prepare and assemble civil pleadings and exhibits in accordance with all applicable state and federal district and appellate court rules, subpoenas, contracts, ordinances, court orders, and other legal documents, correspondence, legal memoranda, reports, brief instructions, dictated tapes or printed materials. Provide clerical support work for City's collective bargaining for negotiations, grievances and arbitration Calendar and schedule court dates, meetings and appointments for attorneys. Electronically file or arrange for the electronic filing of legal briefs and other necessary paperwork with various local, state and federal courts. Compile case documentation for attorney use and file maintenance. Receive and screen visitors and telephone calls. Provide information which requires the use of judgment and interpretation of policies and procedures or take messages or refer the call to the proper attorney. Initiate specified correspondence such as transmittal letters independently for signature by appropriate staff. Review finished materials for completeness, accuracy, format, and compliance with policies and procedures. Use appropriate English. Organize and maintain chronological files. Update statute and code books for attorneys. Maintain publications in library. Maintain a civil division manual for use in cross-training. Relieve attorneys of certain administrative matters by following up on projects, transmitting information, keeping informed of pertinent activities and scheduling and arranging for meetings. Inventory and maintain office supplies while remaining within annual budget. Train others in work performed. Perform other duties which may be assigned. Knowledge, Skills And Abilities • Provide secretarial and administrative assistance to one or more attorneys and associated staff • Legal office terminology, processes, procedures and the format for legal documents • Legal secretarial practices and procedures, including filing and business letter writing • Draft legal documents from notes, brief instruction, dictated tapes or printed information • Recordkeeping, report preparation and filing methods • Correct English usage, including spelling, grammar, punctuation and vocabulary • Business arithmetic, including percentages and decimals • Organize work, set priorities and meet critical deadlines • Use initiative and judgment within established guidelines • Type accurately and efficiently • Train others in work procedures • Computer applications and software related to the work including Microsoft Office • Establish and maintain effective relationships with those contacted during work Physical Demands Requires ability to work in a typical office setting and use standard office equipment. Occasionally lift and move boxes. SUPPLEMENTAL JOB POSTING INFORMATION • This is a Civil Service position and is Non-Exempt under FLSA guidelines • May be called back, held over, work off-hours, nights, weekends and holiday shifts as required • May be required to work during emergency circumstances or inclement weather conditions • This position reports to the City Attorney and Chief Assistant City Attorney • Supervision exercised: May provide training to staff on a project basis • Must submit a fingerprint card and meet NCIC/CJIS requirements • May be required to pass a pre-placement drug screen and background investigation Supplemental Job Posting Information Human Resources will require prior to the first examination for the position, necessary documentary evidence be submitted for fitness of any qualification.
