Education - Bachelor's Degree - Associate's Degree Skills - IIS - Administrative Experience - Bilingual - Driver's License Under general (Assistant I/II) supervision (Aide), provides administrative services to departmental management (Assistant I/II) or administrative staff (Aide) in a County department. Administrative Aide, approximately $17.29- $24.20 per hour, may be used in a trainee capacity for higher level administrative positions. Administrative Assistant I, approximately $21.53 - $30.12 per hour; and Administrative Assistant II, approximately $23.67 - $33.20 per hour, are characterized by their responsibilities to departmental management for the provision of a variety of staff administrative services. They differ from the Administrative Officer classifications in that they are primarily staff in nature. The functional difference between the levels of the Administrative Assistant classifications relate to the complexity of the staff work regularly assigned and the size of the agency/department. Incumbents in this position may receive an educational incentive of either 2.5% for an Associate degree, 3.5% for a Bachelor degree, or 5% for a post graduate degree that is not required to work in the classification. Incumbents may also be eligible for bilingual incentive depending upon operational need and certification of skill. Examples Of Duties: Depending on the level, duties may include but are not limited to the following: Administrative Aide: Assists in budget preparation and maintenance, purchasing, accounting and fiscal programs, and departmental personnel administration. Researches, compiles, and organizes information for use by the administrator in the completion of reports, recommendations, and special projects. May personally prepare reports and projects for the administrator's approval. Prepares correspondence in accordance with administrative policies and procedures. Relieves administrator of other routine office and administrative details as required. Performs other related duties as required. Administrative Assistant I/II: Analyzes and prepares budgets and supporting documentation. Analyzes and prepares a variety of reports and correspondence. Monitors and may supervise the work of subordinates or coordinate the work of others assigned to perform general administrative tasks. Conducts research, analyzes results, and prepares report of findings on a variety of special projects. Performs a variety of staff projects and assignments in direct assistance to departmental management staff. May manage facilities including budget, related expenses, furniture, maintenance, etc. May be responsible for departmental personnel function. May be responsible for departmental benefits administration. May develop and monitor contracts. Performs other related duties as required. Administrative Aides and Assistant I/IIs are represented by the Service Employees' International Union (SEIU) and are eligible for overtime compensation. EDUCATION, TRAINING AND EXPERIENCE Administrative Aide - An education or experience background which would demonstrate possession of the knowledge and abilities. Administrative Assistant I/II: Some education and/or experience which would provide the required knowledge, skills and abilities. For example, possession of the requisite KSAs could typically be demonstrated by: Administrative Aide: possession of an Associate Degree in a related field or one (1) year increasingly responsible clerical or administrative support experience. Administrative Assistant I: Possession of an Associate's degree in a related field and/or one (1) to two (2) years of related experience. Administrative Assistant II: Possession of an Associate's degree in a related field and/or two (2) to three (3) years of related experience. itional related experience can be substituted for the education on a year-for-year basis. Necessary Special Requirement Possession or the ability to obtain and maintain a valid California Driver License. Knowledge, Skills and Abilities Administrative Aide: Working knowledge of: basic research methods, mathematics, and statistics. Working ability to: communicate effectively orally and in writing, accurately analyze and draw logical conclusions from data, identify problem areas and recommend solutions, and establish and maintain effective working relationships with co-workers and the public. Administrative Assistant I/II: Working knowledge of: principles and techniques of administrative and fiscal analysis, organization and staffing, public relations, contract development and monitoring, and personnel or benefits administration. Working ability to: prepare a variety of reports and recommendations, communicate orally and in writing, establish and maintain effective working relationships with co-workers, the general public and outside contractors.
