Assists in establishing new procedures as dictated by Department regulation and Commonwealth procedure changes. Develops and runs reports from the Commonwealth's P-card provider's web-based online card management system to identify trends in card usage. Assists in the preparation of fiscal and statistical reports for the P-card Unit. Processes SAP cost allocations including but not limited to the monthly P-card error report adjustments and quarterly P-card rebate distribution. Reviews and assigns account coding for P-card transactions for assigned P-cards. Uses Commonwealth's P-card provider's web-based online system to continuously monitor, review, and verify accuracy of the P-card information maintained by the card issuer. Prepares correspondence to include draft memos, letters, reports and specifications from either handwritten, typed or dictated copy. Proofreads all typewritten documents for punctuation, spelling, grammar, formatting, etc. Reviews and replies to routine correspondence. Assists with filing duties as required. Maintains files in a neat and orderly fashion. Purges files annually based upon bureau records retention schedule. Schedules resources and notifies appropriate attendees for meetings prompted by Unit business. Participates in cross-training to meet changing operational requirements. Provides data entry assistance in various databases as needed. Apprises supervisor of emerging issues/problems.
