Education Requirements: Computer and office skills normally acquired through the completion of two-year post high school degree and/or on-the-job experience. Position Summary: Provide technical and administrative support to the Managers of Procurement. This position requires the initiative and assertiveness to act as an agent for assigned managers. Essential Job Functions + Provides administrative support to Managers of Procurement by typing correspondence, drafting/proofing memos and letters, coordinating various project and corporate related meetings, assisting with submittals, copy and distribute plans, specs and general office filing. + Coordinate, prep, and distribute materials for meetings and ongoing initiatives between corporate departments and leaders as well as project owners. + Compile notes, data, and provide follow through on action items for assigned managers. + Develop PowerPoint presentations and other visual presentations for Managers of Procurement. + Manage and maintain Managers of Procurement calendars and coordinates with other operations/corporate managers’ schedules. + Screen incoming calls; create, edit, and draft correspondence, and respond independently when possible. + Create and maintain various databases and spreadsheet files. + Coordinate mail for assigned managers while they are out of the office. + Enforces company policy regarding relevant costs and charges while compiling personal and company visa expense reports for assigned managers. Submits to AP for reimbursement and/or payment. + Track personal events (i.e. anniversaries, births, birthdays, etc.) for key employees and client contacts. + Work with teams or other individuals on special projects, which may include planning multiple presentations, disseminating information, and organizing company events. + Coordinates Managers of Procurement travel arrangements (flight, hotel, car rental, etc.) + Perform additional assignments per Manager of Procurement request and/or supervisor’s direction. Knowledge, Skills and Abilities + Must be proficient with Microsoft Office (Excel, Word, Power Point, Outlook), and have the ability to type 60 wpm. + Must have excellent written and verbal communication skills, and must be detail orientated. + Must have good time management skills, be able to multi task with frequent changes, and the ability to work independently. + Must be proficient with Adobe PDF. + Must be able to maintain confidential information, and act in a professional demeanor.
