Accounting & Payroll Specialist Local Plumbing Contractor is seeking an Accounting & Payroll Specialist to join our administrative team.The position will support three small companies and 4 small real estate LLC's, and will support our external CPA/Bookkeeper and Office Manager. Additional duties will include supporting office staff throughout the day.
Job Qualifications • Must have complete working knowledge of the Accounts Payable and Accounts Receivable cycles • Must be proficient with QuickBooks, MS Office, Adobe Acrobat, Outlook and Internet Browsers • Administrative experience also required • Strong attention to detail, fast learner, well organized and a self-starter able to work in fast paced environment alone or with a team. • Clerical accounting experience is mandatory; accounting background is preferred • Ability to communicate professionally and effectively in person, on the phone and electronically. Job Duties - For seven small business entities (three corporations, four real estate LLC's) • Primary function is to ensure that companies' bills are paid on time, and that the companies are not overcharged for any product or service • Verify accuracy of billing data, revise any errors, and resolve discrepancies in accounting records • Contact vendors to obtain or relay account information • Keep records of invoices and support documents • Make sure invoices are paid when due, attach related documentation to check copies and file checks properly • Interact with office staff as well as vendors to resolve problems with invoicing, receiving, shortages, overages, duplicate shipments, pricing, discounts, purchase orders, returns, etc. • Interact with Customers concerning Accounts Receivable and drive collections of past due invoice payments and delinquent accounts • Process weekly Payrolls • Be sufficiently organized to handle the above duties for each of the small business entities without cross-company errors.
